The “bad-news” letter, and the “good-news” letter

Let’s take these two examples to analyze.

I- A bad-news letter can produce hostile or rude feelings. In order to soften this, the following pattern might be useful.

  1. Buffer or introduction
  2. Explanation of the situation
  3. Bad news
  4. Goodwill

Look at this example:

Dear Mrs. Roberts :

Thank you for your time and effort in applying for the position of receptionist at Grand Mall.

Since we needed someone who can assume the duties with a minimum training, we have selected a candidate with previous experience.

I am sure that with your excellent records you will find a position in another company.

Sincerely,

Meg Ryan

II- A model for “good news” letters can be the following :

  1. Good news
  2. Explanation of current facts
